Office Assistant Napa HQ Full-time

This position includes the following key responsibilities:

  1. Office Management: Order office goods and maintain supplies inventory, including paper, toner, and stationery. Keep track of the office budget and maintain accurate records of all purchases.
  2. Classroom Setup: Set up classrooms with the necessary materials, technology, and equipment before each course. Ensure that classrooms are ready for students and instructors.
  3. Cleaning Team Management: Schedule the cleaning team and ensure that the school is clean and well-maintained at all times.
  4. Printing Course Materials: Print and organize course materials, including syllabus, handouts, registration lists, and other materials required for courses.
  5. Day-to-Day Operations: Handle the day-to-day operations of the school, including answering phones, responding to emails, and managing schedules.
  6. Guest Greeting: Greet guests and visitors to the school and ensure they are comfortable and well-informed about its offerings.
  7. Course Assistance: Assist with courses as needed, including setting up equipment, pouring wine, and providing administrative support to instructors.
  8. Proctoring on-site and off-site exams and setting up the exam room and materials. 
  9. Proficient with, or willing to learn to use, software and communication tools chosen by the company. This may include Excel, PowerPoint, Dropbox, Google Suite, Slack, Airtable, Trello, etc. We can teach you to use an unfamiliar platform, but you will need to be comfortable using and learning new tech.
  10. Other duties as assigned. 

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 1-2 years of administrative or office experience preferred.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and manage time effectively.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite.
  • Knowledge of the wine industry or experience in the hospitality industry is a plus.
  • Ability to stand, sit, or move for extended periods of time.
  • Ability to lift up to 40 pounds.

Working Environment

The ideal candidate will be available 40 hours per week. Weekly scheduling will be coordinated with the HQ Director. Work days will include week and weekend days. The pay rate will be $18-20/hour. This is position is based at Napa Valley Wine Academy Headquarters in Napa.
